MEDIA RESOURCES BORROWING TERMS AND CONDITIONS

It is your responsibility to check the condition of all portable equipment at the time of collection. Once equipment leaves Media Resources, you become liable for the repair or replacement costs of equipment in the event that any asset is lost or damaged. A list of the replacement costs of all equipment is available from Media Resources upon request (repair costs will be quoted on a case by case basis).

Faults that are discovered or damage incurred while you are in possession of the equipment must be reported to Media Resources as soon as possible - equipment that becomes unusable should be returned for replacement (if available). Please note that we do not provide charged batteries and you are responsible for ensuring batteries are charged, and lamps are functional prior to use. We do not provide batteries, DVD or CD discs or tapes

Media Resources take no responsibility for the loss of data from any media storage type, including hard drives and camera card media, either under our care or when supplied to customers.

You must not use the equipment / facilities in a way that breaches any of Bucks New University guidelines, policies, regulations or that brings Bucks New University into disrepute. Student users are not permitted to use this equipment for profit or private use.

Equipment must be collected within 1 hour of the collection time and returned before the return time specified on your booking. You will need to check the details on your SiSo account for these details. Failure to comply with these conditions will result in a fine and withdrawal of your loan privileges.

Penalties will be issued automatically by the SiSo system if you do not collect your booking or return the equipment late.  If equipment is returned in a poor state, a fine of £10.00 may be issued. Damage to equipment will be fined on a case-by-case basis. 

MEDIA FACILITIES USAGE

It is your responsibility to check the set up and adhere to operational guidelines in all studios and edit suites. You must return all facilities to their original condition at the end of your session. You must collect an access card for your facilities within 15 minutes of the start of your booking. This must be done at the Media Resources desk (G0.05) for video studios and video edit suites and at the audio studios desk on 1st Floor Gateway for audio areas. Please bring your student card to be scanned for the access card. You must vacate your edit suite or studio space by the time that your booking ends. If you fail to attend to your audio room booking without prior cancellation, you may be given a 2 week ban. Any damage to facilities will be levied against your account at cost. All studios and workshop areas must be secured by the door swipe card locks - any student found to be jeopardizing security by leaving doors propped open or on the latch will have their booking privileges revoked.

Any attempt to avoid token costs when booking equipment or rooms will be deemed a breach of terms and your account will be suspended indefinitely.

YOU ARE NOT PERMITTED TO HIRE EQUIPMENT ON BEHALF OF, LOAN OR SUB HIRE EQUIPMENT TO ANOTHER USER.  BY TICKING THE BOX YOU ARE AGREEING THAT YOU ARE FULLY RESPONSIBLE FOR ANY AND ALL DAMAGE OR LOSS TO THE EQUIPMENT LISTED ON YOUR BOOKING, AND ANY COSTS ASSOCIATED.

PENALTIES

The penalty system exists to encourage professional practice and to guarantee access to equipment and resources for all students and staff. If equipment is returned late then the next person who has booked it is disadvantaged and this is not acceptable, whilst we have a good stock of equipment it is still in great demand, so being punctual with your bookings is vital.

SiSo will automatically generate all fines, please do not appeal to technical staff as they do not generate the fines. If you receive a fine you will receive an e-mail from the SiSo system detailing your penalty amount, with details on how to pay your fine. This policy applies to both students and staff. Faculty management has approved it and there is a formal appeal process, which is detailed below.

Penalty fines will be levied for any of the following:

Late return of equipment.

No-show for a booking.

Failure to return equipment and facilities to there normalised state or misuse of equipment.

Leaving equipment unattended.

Damage to or loss of equipment, this may also incur a repair or replacement cost.

Failure to return a harddrive to Media Resources within 1 week of collection.

Leaving sets erected in the studios without permission / not disposing of sets. 

Fines

Damage and loss will be fined at cost, please consult the Media Resources Manager if this is the case.

Below is a list of fines:


Non collection or late return of audio studio cards = banned for up to 2 weeks (any subsequent bookings within this period will be cancelled).

Late return of camera or lighting kit = £1 per day

Mistreatment of equipment / returned in poor state = £10.00


Mistreatment of studio / left in poor state = £10.00


Please note; if you miss a return due on Friday afternoon you will be charged for the whole weekend. This reflects the level of inconvenience caused to students who have to cancel weekend bookings.

IF YOU ARE ISSUED WITH A FINE

Once issued with a penalty notice your access to all media facilities may be suspended until you pay your fine. If you are unable to pay your fine in one go please contact Media Resources Manager to discuss payment deferment. As long as you agree a payment date in writing, your account can be unblocked. Penalties that remain unpaid will be invoiced and added to the University debtor list. Debtors cannot receive any results or graduate until all debts are paid. 

APPEALS PROCESS

When to Appeal

Appeals should be submitted as soon as possible and within 12 days of the fine being imposed.

How to Appeal

Please email or write to the Media Resources Manager detailing the full circumstances of the appeal. Please include all supporting evidence and details of extenuating circumstances.

Who Can Appeal

It is only the student against whom the fine has been imposed can appeal. Direct appeals from parents and award staff cannot be considered.

Evidence and Timescales

It is the responsibility of the student to provide clear and verifiable evidence in support of an appeal. We will aim to respond to appeals within 5 working days. The decision reached through the appeal is final.

How is the Appeal Processed?

The Media Resources Manager will collate the appeal submission along with the fine notice and any other information relating to the fine (SiSo logs, staff records) and forward the information to the Technical Manager.

The appeals panel will comprise of the Technical Manager and Departmental Manager for Design, Media & Management. The panel may refer for additional information to the relevant Awards area or Production Team or a member of Faculty Management Team as appropriate.

The Appeal decision will be notified to the student via their student email address. A copy of the information and evidence submitted will be retained.

Advice and Guidance

It is the students responsibility to manage the use and safe return of all Media Resources equipment within the specified times and the levying of a fine is considered an exception to working within these guidelines.

In order to successfully appeal it would be expected that evidence is provided to confirm that the student had undertaken all reasonable and possible precautions in preventing the circumstances under which the fine had been imposed.

Your Responsibilites:

We expect you to tell us when you are unable to return equipment or show up for a booking. If we cannot alter your booking then you must make arrangements to return the equipment. You may be asked to arrange for someone else to return it or to return it via taxi at your expense.

Please check the equipment before you take it away.

If you were to turn up to a professional shoot with bits of kit missing or malfunctioning, you would look very unprofessional. If you returned damaged or incomplete kit to a hire company, they would hold you responsible. It is your shoot, your reputation, your kit, your responsibility.

Return equipment on time.

If you returned equipment late to a professional hire company they would charge you the full day rate for every day it is late. And if you had not the courtesy to phone them, they may think it was stolen and call the police. 

Professional practice ensures that the next persons work is not disrupted. You would expect the same in their position. It also means that a successful penalty appeal requires a seriously good excuse, usually backed up with documentary evidence.
